What’s in this article?

Short answer

Ending a seller agreement does not automatically make all that seller’s listings unlawful. Authorisation, product origin, listing content and organisational rights need separate review. Record expiry as a context change; do not delete historical product and channel information.

Authorisation depends on the time period

A yes/no field is insufficient in a seller inventory. Include start, end, country or channel scope and the organisational approver. Compare authorisation with the period when the listing was observed. Applying today’s list to an earlier observation can produce an incorrect result.

During renewals or dealer-name changes, legitimate records may not yet have reached the system. Keep incidents awaiting sales or dealer-management confirmation separate. Missing internal data is not a substitute for a definitive infringement report to a platform. Show the waiting reason and responsible person.

Keep listing review as a separate decision

Besides seller status, examine model, listing image, authorised-dealer claims and supplied source documents. Separate observations and verification notes for each dimension. Refer rights assessments to the authorised legal team. The technical team must not produce a removal outcome from an authorisation-table change alone.

An invoice does not answer every question either: invoice records, the supply chain and claims in the listing provide different information. Specify which product and seller the documents relate to. If documents supplied by the organisation conflict with accessible listing data, keep the incident marked as “uncertain” and reassess it when new sources become available.

Correcting false alarms

Add a correction record instead of silently changing the first decision. Preserve previous state, reason, new source and approver. This helps avoid repeating the same incorrect report for a seller. Update authorisation lists regularly and explicitly define records requiring human review before automated reporting.

Implementation checklist

  • Are authorisation period and channel scope clear?
  • Were they compared with the observation date?
  • Were renewal and name changes checked?
  • Were product and listing claims evaluated separately?
  • Is correction history visible?

Frequently asked questions

Are unauthorised sellers and counterfeit sellers the same?

No. Authorisation status and the nature of the product are separate assessments.

Which team supplies the authorisation list?

The dealer or channel-management owner authorised to approve those data, together with the relevant team when legal assessment is required.

Scope and limitations

This record model makes no legal classification. The authorised legal team must assess the legality of sales and brand use according to context and applicable rules.
