CRM systems support sales and customer experience, but centralise personal data such as names, phone numbers, emails, conversation histories, purchases and segments. They therefore need careful configuration for KVKK compliance.

A KVKK-compliant CRM requires more than adding a privacy notice. Collection, use, sharing, retention, deletion and access must be addressed across the entire data lifecycle.

1. Build a CRM data inventory

Identify what personal data the CRM actually stores, including sales staff’s free-text notes as well as standard fields.

Record at least the data category, source, processing purpose, accessing team, retention period and receiving systems.

2. Define the purpose of each data field

A field’s technical availability does not justify collecting it. Data minimisation means retaining only information needed for a genuine business purpose.

Contact details for a sales conversation and data for marketing segmentation may have different purposes and legal assessments.

3. Distinguish information duties from explicit consent

The duty to inform and explicit consent are different. Not every CRM record automatically requires consent; the legal basis and purpose must be assessed for the actual process.

Where processing relies on consent, assess whether it is freely given, specific and withdrawable.

4. Apply Role-Based Access

Not every employee needs all customer data. Give sales, support, marketing, finance and management only the access they need.

Restrict export, bulk download, deletion and administrator permissions, and log their use where possible.

5. Enforce retention periods in the CRM

Retention and disposal policies must become technical CRM processes for finding expired records and deleting or anonymising them.

Keeping every customer or lead record forever must not be the default.

6. Map CRM integrations

CRM doesn't often work alone. It can be linked to web forms, email marketing platforms, call center, ERP, support system, WhatsApp integrations, data warehouse and advertising platforms.

Reviewing the CRM database alone is not enough. Include the APIs and integrations moving personal data between systems in the data flow map.

7. Check Abroad Data Transfer

Cloud CRM servers or connected services may be outside Turkey, and foreign group companies or processors may be involved. Assess the current KVKK cross-border transfer rules separately.

The transfer mechanism, appropriate assurances, contract structure and technical data flow must be analyzed according to the service used.

8. Manage commercial messages separately from KVKK

Having a customer record in CRM does not mean that unlimited marketing messages can be sent to the person. Commercial electronic transmission obligations and personal data processing obligations are connected, but not the same legal process.

Synchronise consent, opt-outs and communication preferences consistently between the CRM and the relevant messaging-management systems.

9. Data Security Controls

  • Multifactor authentication,
  • role-based authorisation,
  • strong password and session policies,
  • access and export logs,
  • Secure management of API keys,
  • backup and restoration checks,
  • Monitoring of suspicious access

CRM security is required not only for KVKK compliance, but also for maintaining the commercial value of customer data.

10. Establish a process for data subject requests

When someone exercises access, correction or other statutory rights, the organisation must quickly locate their data across its systems.

If CRM records are copied elsewhere, handling a request must cover those systems, not just the main CRM record.

CRM KVKK Checklist

  • Is CRM data inventory up to date?
  • Is each field’s processing purpose defined?
  • Unnecessary data fields removed?
  • Is role-based access implemented?
  • Are retention and deletion deadlines enforced technically?
  • Are third-party integrations registered?
  • Have overseas data streams been evaluated?
  • Is logging and security checks sufficient?
  • Is there a working process for data subject requests?

Conclusion

KVKK compliant CRM is not limited to text prepared by the legal team. Data inventory, business processes, access authorizations, API integrations, and security controls need to run in the same architecture.
