Lead Source and CRM Compliance: Can You Prove Where Customer Data Came From?
If the source, first contact time, collection channel, legal basis, consent/opt-out status and transfer chain of every CRM lead cannot be traced, the company will struggle to demonstrate the data lifecycle.

A name, phone number and “lead source = Meta” field in the CRM are not enough to establish where the data came from. An auditable Lead Source & CRM Compliance model should track the originating form, campaign, store, referral, integration or third-party batch; the initial collection time; the assessment of the legal basis for processing; the version of the privacy notice or consent text used; the status of each commercial messaging channel; and subsequent opt-out or deletion events throughout the same data lifecycle.
Why Does It Matter?Over time, CRM systems can become data lakes combining many different sources. Leads from web forms, phone calls, trade fairs, store visits, marketplaces, Meta Lead Ads, Google campaigns, call centres, franchises, dealers, referral programmes and purchased lists may all end up in the same table.
Months later, only “Source: Digital” or “Source: Campaign” may remain. These labels do not establish which campaign, form version, supplier or legal process was used to collect the data.
What Is Lead Provenance?Lead provenance is the ability to reconstruct a CRM record’s origin and the operations it underwent during its lifecycle. The aim is not indefinite retention of every piece of data, but an auditable link between the processing activity’s source, legal basis and later changes.
For a phone number from a Meta form, retain the form ID, campaign ID, form version, capture timestamp, privacy notice used, import job ID and CRM transfer time instead of only a “Meta” label. For a CSV import, the supplier ID, batch ID and compliance review result are more meaningful than the filename alone.
What Lesson Does 2026/1183 Give for CRM?The case in KVKK Decision 2026/1183 begins with a third party’s number entering the system through a “brand ambassador” programme. This is a provenance issue for CRM: a number’s presence in the system does not mean the individual personally submitted a lead to the company.
The fields “customer created at” and “data originally obtained at/from” therefore mean different things. A CRM record created today may contain data obtained earlier through another person, company or system. The provenance model must distinguish these times and actors.
IYS Does Not Replace CRMİYS provides central control over consent and opt-out processes for commercial electronic communications. It does not by itself explain the CRM data’s origin, the product purpose of collection or the third party through which it was transferred.
Conversely, “SMS permission = yes” in CRM does not automatically prove the current İYS channel status. Synchronisation, timestamps and error checks must connect the two systems.
What Should Companies Do? 12 Fields to Retain for CRM Lead Provenance- source_type: web form, store, call centre, referral, supplier, marketplace or another source type.
- source_entity: the platform, dealer, agency, supplier or company providing the data.
- source_detail_id: a distinguishing identifier such as form ID, campaign ID, event ID or batch ID.
- captured_at: when the data was first obtained.
- received_at: when the company or CRM receives the data.
- notice_version: the privacy notice version used during collection.
- legal_basis_review: the legal basis assessed and its assessment record.
- consent_evidence: a reference to consent evidence when relying on explicit consent.
- iys_channel_status: the separate status of each commercial communication channel, such as SMS, phone and email.
- suppression_status: an opt-out, do-not-contact, deletion or campaign exclusion record.
- transfer_chain: the organisations or systems through which the data passed.
- last_verified_at: when provenance and permission status were last verified.
A single boolean consent field in CRM can conflate purposes and channels. SMS, email and phone preferences may differ. Explicit consent to a data processing activity under KVKK and consent to commercial electronic communications are also separate records.
Store the permission model as purpose + channel + evidence + timestamp. When a user opts out of one channel, monitor whether other systems are updated within the defined time.
Measure İYS SynchronisationAccording to the Ministry of Trade, service providers must record consent and opt-out notifications in İYS within three working days of receiving them. Monitor delays and failed updates across CRM, call centres, email platforms and İYS rather than simply whether an integration exists.
If someone tells the call centre “do not call me”, a CRM note alone is insufficient. Check synchronisation with the channel’s suppression record, the İYS process and active campaign audiences.
Queue Unknown-Source Records SeparatelyLegacy CRM systems may contain thousands of records with untraceable origins. Assign “unknown provenance” status instead of retrospectively inventing a legal basis. Apply use restrictions, re-verification or deletion/retention assessment according to risk.
Proposed Measurement Model for B10| CRM Control | KPI | Goal / Risk |
|---|---|---|
| Provenance | Known-source coverage | Share of records with unknown origins |
| Evidence | Evidence-linked lead rate | Unsupported permission or legal basis |
| Notice | Notice-version coverage | It is unknown which text is shown |
| İYS | CRM ↔ İYS mismatch rate | Conflicting channel status |
| Sync | Consent/opt-out synchronisation latency | Delayed opt-out update |
| Suppression | Suppression enforcement rate | Contact after opt-out |
| Legacy records | Unknown-provenance backlog | Old, unexplained record |
| Supplier | Batch Traceability Rate | Lead whose source file provenance is lost |
The most valuable KPI is not total lead count. It is how quickly, during an audit or a data subject request, you can show a record’s origin, the evidence supporting its processing and the systems to which its opt-out status has propagated.
Expert AssessmentThe central CRM compliance problem is often lost data lineage rather than missing legal text. As records move between campaigns, from CRM to CDP and then to advertising platforms, original source metadata can disappear or become a meaningless label such as “import”.
Provenance fields are therefore safer as system-generated records that are as immutable as possible, rather than optional free-text fields for campaign teams. Source event and batch IDs can link to a separate evidence repository.
A good Lead Source & CRM Compliance system reduces unlawful communication risk and improves marketing analytics: companies can measure which sources generate quality leads, which suppliers have poor data quality and which integrations lose consent information.
Digital Risk and Compliance AnalysisB10 can build a Lead Provenance Dashboard linking CRM, form, call centre, supplier batch and İYS records through source IDs and evidence references. One audit chain can answer where a lead came from, on what basis it is used, which channels are authorised and when its last opt-out was processed.

If the source, first contact time, collection channel, legal basis, consent/opt-out status and transfer chain of every CRM lead cannot be traced, the company will struggle to demonstrate the data lifecycle.
What should companies first check?Inventory the current practices and data/business workflows.
Is a one-off check sufficient? No. Single CRM fields such as “permitted”, “KVKK approved” or “lead source: digital” do not by themselves prove origin or the right of use. Source events, time, purpose, evidence and channel-specific consent/opt-out history must be linked.
What can B10 provide?B10 can build an auditable lead-provenance model by linking CRM records to source events, campaign or form IDs, supplier batches, assessments of the legal basis for processing, privacy-notice and consent evidence, and İYS channel status.
